Organizing Supplies

Here is a list of basic supplies that can help with your filing system.

  1. Places to keep your files
    1. Filing cabinet
    2. Portable file box
  2. Hanging folders
  3. Manila folders
  4. Marker/pen/label maker

Tax Documents

The first thing to figure out is what tax documents you need. H&R Block has an excellent list of documents you need for tax season right here. (https://www.hrblock.com/tax-prep-checklist/what-do-i-need-to-file-taxes/)

Once you know what you need, you can start building a folder with all your tax documentation inside. This includes deductible receipts, W-2 forms, rental and retirement income, and other income and losses. As you work on adding to this file year-round, you will not only save yourself time come April, but also the headache of having to search through a year’s worth of paperwork all at once.

Bills & Statements

Whether you want to separate your bills by month or by type, you will want to use manila folders to collate each set. When issues arise, you will love how much easier it is to find your bills when organized this way.

Statements from your bank and investments should also have a place within your filing system. If they are all online, it is advisable to have hard copies printed as a backup.

Legal Documents

Other important documents should also be filed for easy access. Items like birth certificates and social security cards are difficult to replace, so it’s a good idea to have digital and physical copies on hand. Wills and/or trusts, car and home titles, and employment records should also be placed within their respective files.

Storing Files

If you find that your files are starting to stack up, limiting the space for you to add more documents, consider renting a small storage unit to keep documents in. This is especially important for businesses but can apply to personal assets as well. When storing documents, it’s advisable to use plastic-based banker boxes with silica gel packets to prevent moisture gathering. Banker boxes are great for keeping files upright, just like in a filing cabinet, and provide an extra level of security against dust and moisture.
